School Action Tracking: A Worked Example

See how a vague meeting decision becomes an action that a school leader can review and close.

This fictional worked example explains the workflow behind the School Operations Assurance Toolkit. It is an illustration, not a customer case study or a screenshot of the purchased workbook.

Before: a decision without a clear finish

“Update the new-staff induction pack before the next intake.” The intention is clear, but the owner, deadline and evidence of completion are missing.

After: a reviewable commitment

Concern
The induction pack refers to outdated departmental contacts.
Accountable owner
Operations coordinator.
Commitment
Check departmental contacts, update the pack and submit the revised version for review.
Due date
12 October 2026, in this fictional example.
Evidence
A dated reference to the revised pack in the school’s approved document location.
Reviewer
Deputy head.
Closure condition
The reviewer confirms that the listed contacts are current and the approved version is ready for use.

Follow the action through three moments

1. Assigned

The owner accepts the commitment and due date. The record states what will demonstrate completion.

2. Completed by the owner

The owner adds the document reference and submits the action for review. Completion has been claimed; closure has not yet been verified.

3. Reviewed

The reviewer checks the referenced version. If one contact remains outdated, the action returns for correction. Once the correction is verified, the action can close with a dated review note.

Try the same approach on one real action

  1. Choose one ordinary operational action from your last meeting.
  2. Name one accountable owner and a due date.
  3. Write one sentence describing the evidence needed.
  4. Decide who should review completion, where review is appropriate.
  5. At the next meeting, check evidence and unresolved dependencies before closing the action.

Keep confidential records in approved school systems. A reference can demonstrate where evidence is held without copying sensitive information into a general tracker.
